The Humane League is seeking a highly organized and tech-savvy Executive Assistant to support the President and Executive Vice President in an extremely fast-paced environment. The Executive Assistant is an invaluable member of the team, and works independently on multiple tasks, displaying a high degree of sensitivity and discretion as well as excellent organizational, writing, editing, and computer skills. The position offers an exciting opportunity for an enthusiastic, welcoming and proactive individual to gain experience working at a leading international farm animal protection organization. The Executive Assistant reports to the Executive Vice President. This is a full-time remote position with the potential for travel, but candidates in New York, NY or Charlotte, NC are desired.

Job Duties

  • Provides assistance in scheduling meetings, coordinating the agenda of senior leadership meetings and off-site gatherings, as well as monthly All-Staff virtual meetings, and attends meetings as needed to take notes and record action items.
  • Researches, compiles, drafts, edits and proofreads correspondence, including presentations, proposals, reports, and emails, including the weekly employee newsletter.
  • Train new hires on internal software basics and serve as the point of contact for employee’s software questions, with support from the Software Engineer as needed.
  • Maintains content on the employee intranet.
  • Administers internal surveys across the organization, and assembles, summarizes, and presents results to senior leadership.
  • Serves as a liaison to senior leadership to coordinate materials needed for Board meetings and external reports.
  • Coordinates domestic and international travel for senior leadership, lodging, and researches and prepares appropriate itineraries.
  • Researches and coordinates speaking engagements, assisting in calendar management and scheduling of appointments as needed.
  • Handles many aspects of major purchases (e.g., hardware and software) including product research, distribution, and training when applicable.
  • May assist other senior leadership staff with administrative issues and preparation of materials. Provides other administrative support as needed.

Requirements

  • Leadership: Lead with integrity and mutual respect, motivate, and inspire trust and confidence with a wide range of people representing various backgrounds and levels of experience. The ability to exercise good judgment in a variety of situations is critical to success in this position.
  • Project Management: Demonstrated ability to manage multiple projects and tasks through to completion in a fast-paced environment. Demonstrated ability to manage complicated calendar scheduling and travel itineraries. Must be flexible, have strong planning, social, emotional and organization skills.
  • Problem Solving: Forward-looking thinker who anticipates needs, actively seeks opportunities and proposes solutions with strong decision-making capability. Must be self-directed and able to plan and coordinate many projects simultaneously, often working with ambiguous guidelines.
  • Communication: Ability to write and speak clearly and effectively, and to interact with all staff, donors, volunteers and the public in a positive, professional and friendly manner. Must be a good editor and proof-reader. Ability to safeguard confidential information and perform with a high-level of discretion, professionalism, and integrity.
  • Technology: Highly proficient in using contemporary office software applications, including word processing, spreadsheets, and the like. Experience with any of the following is a plus: Google Drive, Apple Keynote, Slack, Asana, Google sites, basic coding. Demonstrated ability to learn new software quickly and independently.
  • Teamwork: The successful candidate must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community-oriented. The ideal individual is a highly resourceful team-player who works effectively with all levels of staff, with the ability to also be extremely effective independently, and displays dedication to the work and role.

Starting salary is $32,000 with added consideration based on experience.
