Overview

The Event and Community Engagement Coordinator works closely with the InVision Events team in a fast-paced, boundary pushing, inspiring and disruptive environment, helping designers and their organizations the world over build better products, faster.

As the Event and Community Engagement Coordinator you will be an organizational guru, work effectively with internal and external stakeholders including but not limited to, venues, hotels, vendors and other event team members and cross-functional internal teams to drive efficient and well run, delightful event. You will be a killer communicator, shift gears on a dime, while keeping all the balls in the air, and have a genuine passion for bringing the InVision community together in face-to-face events..

In addition to helping the broader events team plan and execute global internal and third-party programs, this role will also completely own and drive the strategy and execution for engaging the InVision community of users, customers and partners through micro in-person events. This includes driving InVision participation in third-party meetups and user groups, end-to-end management of proprietary meet-ups and drink-ups. You will work closely with the partnership and product marketing teams to understand product roadmap and launch timelines to align with the community event programs you are running. You’ll be an evangelist and specialist in the InVision platform offering so you can answer questions and represent InVision value proposition to customers and users alike. At the same time, you’ll be an advocate for our community, bringing their issues forward to be discussed and resolved at the product and business planning levels.

REQUIREMENTS

Event Support

  • Manage general administration and drive day to day coordination and scheduling for the Events Team
  • Navigate timelines carefully, proactively and effectively, communicates across project teams to advance milestones – tracking progress in Event Geek, the event team project management tool
  • Event tactical support including venue search and procurement, food and menu planning, AV coordination, etc
  • Support the tactical execution of InVision Events programs and contribute to creative ideation and longer term strategic planning
  • Schedule cost effective air/hotel/ground transportation, create and communicate detailed travel itineraries for event attendees
  • Manage inventory of swag and supplies for events – including restocking, fulfilling requests and manage roundtrip shipment to/from events.
  • Assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies, equipment and signage, and ensure appropriate décor to meet quality and Brand expectations
  • Assist with attendee list management
  • Own Event calendar on corporate site as well as internal channels – update with event DNA (time, date, location, InVision sponsorship details)
  • Leverage market knowledge and market research to identify sales opportunities influenced by event programs
  • Assist with preparing and reconciling budgets and provide periodic progress reports to program owners for each event project.
  • AMX receipt management.
  • Monitor event team and sponsorship alias for rapid response and routing
  • Provide weekly status reports, updates, handbook before the events and support the creation of wrap up report
  • Collects feedback from attendees, hosts event debriefs, and compiles data on events to inform future planning efforts
  • Create and maintain events wikis (restaurants, venues, social activities, vendors) and researches new additions to these categories in key markets
  • Travel as required and attend events and facilitate events set-up and strike.

Community Engagement Management:

  • Develop and implement strategies to reach our diverse community through current event programs and through development of new tools and in person events.
  • Track and own global meetup, user group and drink up calendars and identify opportunities for InVision (or customer/partner) to speak or attend.
  • Communicate opportunities on event corp calendar, internal calendar and relevant slack channels
  • Drive attendance at community engagement events and run post event and audience analysis to identify optimization opportunities.
  • Build relationships with meetup and user group owners for future collaboration opportunities at larger events
  • Monitor, moderate and maintain calendar of meetup groups and relevant/related forums, acknowledging and responding to posts and escalating issues to various internal teams as needed Regularly report on insights gained from community moderation
  • Help the community in building an ecosystem of tools around InVision
  • Collaborate and work with cross-functional internal and external teams to help establish objectives, achieve one look, one feel, one brand, advance timelines, escalate issues as required, build consensus, and motivate to deliver best-in-class integrated events

QUALIFICATIONS

  • 2+ years in-house or agency experience in a marketing events coordination or similar role
  • A. or B.S. degree
  • Mastery of Excel, PowerPoint, and the ability to ramp quickly to multiple internal tools
  • Event management and administrative support experience including project management and budgeting
  • Superior written and oral business communications skills, with the ability to comfortably and professionally interact with colleagues at all levels
  • Excellent time management skills with the ability to work on multiple deadlines in a fluid environment with competing priorities
  • Ability to maintain a high level of accuracy and attention to detail
  • Analytical and data-driven approach to solving problems
  • Knowledge of product design ecosystem and influencers
  • Ability to take direction and input to develop effective event strategies that are engaging, innovative and will achieve the event goals
  • Knowledgeable about regional venues, activities, and events resources
  • Ability to thrive in a fast-paced environment
  • Ability to multi-task and change direction quickly
  • Experience working and collaborating effectively with cross-functional teams
  • Proven negotiation and communication skills
  • Knowledgeable in using Microsoft Office Programs, Adobe Photoshop, Keynote, Outlook, Event, and Registration Tools
